1. Purpose & Scope
This policy establishes the standardized framework for transitioning users from the complimentary demonstration phase to commercial production access within the SmartCarePlus platform. It defines the procedural, technical, and operational requirements necessary to ensure seamless onboarding, secure data handling, and sustained platform performance. This document applies universally to all diagnostic centers, healthcare providers, and enterprise partners who have exceeded the 4-month complimentary demonstration period calculated from their initial onboarding correspondence or first platform access request.
2. Effective Date & Universal Applicability
This policy officially takes effect on 1st May 2026. It applies retroactively and prospectively to all accounts that have completed or exceeded the 4-month (120-day) complimentary demonstration period. Any account remaining in trial status beyond this threshold is automatically subject to the terms and activation requirements outlined herein. No exceptions, informal extensions, or manual overrides will be permitted without formal written approval from the SmartCarePlus Enterprise Compliance Board.
3. Definitions
- Demonstration Period: The complimentary 4-month evaluation phase granting limited, non-commercial access to platform features for testing and workflow validation.
- Production Access: Full commercial activation including unrestricted study uploads, advanced reporting, role-based permissions, priority support, and SLA-backed uptime.
- Account Suspension: Temporary restriction of platform access triggered by non-payment, policy violation, or failure to complete commercial activation after the trial period.
4. Trial Period Guidelines
The demonstration phase is designed exclusively for evaluation, technical familiarization, and feasibility assessment. Trial accounts are subject to resource limits, usage monitoring, and feature restrictions. The 4-month window begins on the date of initial platform access or first onboarding correspondence. Upon reaching the 120-day mark, the account is automatically flagged for commercial transition. No additional trial extensions, feature unlocks, or integration assistance will be permitted beyond this period without formal plan activation and payment verification.
5. Transition to Commercial Access
Transition from demonstration to production status requires formal plan selection, payment confirmation, and technical verification. Users must select either the Monthly or Yearly subscription tier and complete payment through the designated secure portal. Upon successful transaction verification, the SmartCarePlus onboarding team initiates a 48-hour activation window. During this period, trial restrictions are lifted, production-grade storage is allocated, and advanced modules are enabled.
Critical Policy Clause: No technical work, integration support, workflow configuration, modality connectivity assistance, or account customization will be performed for any client whose account has exceeded the 4-month demonstration period until commercial plan activation and payment confirmation are formally completed. This includes but is not limited to: modality setup, connector installation, reporting template customization, staff role configuration, and live workflow demonstrations.
6. Payment & Billing Terms
Commercial access to SmartCarePlus is contingent upon timely payment of the selected subscription tier. SmartCarePlus operates globally with standardized paid plans available across all regions. Users may select from available subscription options (e.g., Monthly or Yearly) based on their operational needs.
Payments must be completed in full before scheduled account activation. Upon successful payment verification, the user's preferred paid plan (excluding free/trial tiers) will be activated immediately. Failed, declined, or disputed transactions will result in automatic suspension of production access and reversion to trial limitations or archival status until payment is resolved.
Pricing details, available payment methods, and region-specific billing information are provided during the plan selection process via the official SmartCarePlus portal or through direct communication with the Enterprise Success Team. All transactions are processed through secure, PCI-DSS compliant payment gateways.
7. Account Suspension & Data Retention
Accounts that remain unpaid after the 4-month threshold will be placed in a read-only archival state after a 7-day grace period. Restoration requires full payment settlement and compliance verification. Archived data is retained for 90 days post-closure before permanent deletion, in compliance with data protection regulations.

9. Acknowledgment
